Check delivery details before you submit
An address is the one field you cannot fix after the parcel moves. It takes two minutes to check and considerably longer to correct, so treat the review as its own step rather than a formality.

The fields that matter
- Recipient name: the name the carrier will look for, matching the mailbox or building directory where possible
- Street line: number, direction, street name, and street type (St, Ave, Blvd) exactly as the postal service formats it
- Unit or apartment: on its own line, not appended to the street name
- City: the postal city, which is not always the colloquial neighborhood name
- State: the two-letter code used across the United States
- ZIP: five digits required; the four-digit extension is optional and should only be added if you are sure of it
- Phone: a reachable number with country code, since carriers may use it for delivery issues
US address format, briefly
Domestic mail in the United States is written with the recipient, then the street, then city, state, and ZIP on the final line. Apartment and unit designators belong between the street line and the city line, or immediately after the street number on the same line if the form requires it.
Two details cause most of the avoidable failures: a missing apartment number, and a ZIP typed with the wrong number of digits. Both are easy to check and nearly impossible to correct once the parcel is moving.
If a form only accepts one street line, write the unit after the street address with a comma: "Street, Apt 4B." If a street type is abbreviated on the form but spelled out on your mailing, use the abbreviation.
A fictional example
| Field | Example value | Check |
|---|---|---|
| Recipient | A. Example | Name matches the mailbox |
| Street | 1420 Maple Ave | Direction and street type present |
| Unit | Apt 4B | Own line, not merged |
| City | Springfield | Postal city used |
| State | IL | Two-letter code |
| ZIP | 62704 | Five digits |
| Phone | +1 555 0100 000 | Reachable, includes country code |
The phone number above is a placeholder pattern, not a working line. When you record your own, note whether it can receive calls from an unknown number; a silent unknown-caller block is a common reason a delivery attempt fails.
The pre-submit review
Read the address aloud once, character by character for the ZIP, and compare it against the source rather than your memory. Then check the destination country field: a US address entered with the wrong country will be routed by the country value, not by the city or ZIP.
Store the exact address string you submitted, with the date, in the same file as the tracking timeline. If a carrier later reports an address exception, you will know precisely what was sent rather than what you think you sent.
Before you finalize, confirm whether the items themselves are allowed on the route — the transport restrictions checklist covers perfume, liquids, and batteries. And if the parcel is being assembled from several orders, keep the address field in the master list so every row points to the same destination.
Finally, keep the address in one place and copy it from there. Retyping an address is how a transposition enters a record that otherwise looks perfect.
